Cases and handovers
A case file is the shared record of a case. Creating it assigns its DOJ case number. Prosecution, court staff and later handovers refer to that same case; a prior Police case is not required. Loose documents, attachments and ZIPs retain their own File IDs without automatically creating a numbered case.
Send a handover
- Select the case or material in File Explorer and choose Send handover from its context menu.
- Choose an existing case or create one in the dialog. Assigning a file to a case preserves its File ID and saved versions.
- Choose the recipient and the task, add instructions and select the saved documents or attachments to include.
- Review the scope and send. Open Handovers → Sent to follow the request; recipients use Received.
Recipients can be configured people, units, ranks, functional roles or agencies. Available targets and actions follow current access. The toolbar provides search and status filters; case numbers and File IDs are searchable. Each entry shows its sender, recipient, submission time and status.
Choose the right task

Transfer case responsibility takes effect when the recipient accepts. Until then, the previous office remains responsible. Acceptance grants editing access to material directly in the case, including later additions; it is broader than the selected submission package. Other private workspace content is not included. Independent access grants continue to apply.
Depending on role and status, staff can take over, assign a judge, ask a question, answer with additional material, forward, complete, return or withdraw a handover. Read the current instructions and history before acting. Assigning a judge currently requires an eligible online member.
Decide without a hearing
A judge can issue a signed decision directly or link a hearing when one is needed. The decision, submitted versions, source case and selected deliveries stay linked. A signature does not itself execute an arrest or other enforcement action. Full Police execution feedback is a separate integration boundary.
Due dates and overdue filtering help locate pending work. A complete reminder workflow and a separate time-zone setting are not currently provided; agree on the server's time convention when recording a deadline.
Redacted copies
Prepare disclosure creates a separate redacted version of a native document. Marked text is removed from the recipient output; images and signature graphics are omitted. The original remains unchanged. Inspect the recipient preview before sharing the result.
This does not redact the pixels or text inside an uploaded PDF or image. Prepare a sanitized attachment before distributing that material. See Sharing and printing for recipients and physical copies.
Folder ZIPs
Use the folder context menu to package a folder as a ZIP inside File Explorer, in its parent folder. The archive includes accessible documents, attachments and subfolders. Native documents are saved as .doj.json snapshots and can be opened in the archive preview. The current limits are 500 entries and 16 MiB of content.
Imported Police originals remain source-owned. DOJ copies receive their own File IDs and preserve their provenance; repeated imports from the same Police case use the stored case association rather than merging records by matching names.
